Manually entering receipts and bills is one of the most avoidable time sinks in small business bookkeeping. Dext and Hubdoc both solve it — snap a photo or forward an email, and the data extracts automatically — but they're not identical, and the right one depends on how your business actually operates.
What both tools do well
- Photo and email capture — take a picture of a receipt or forward a bill, and the tool extracts vendor, amount, date, and line items.
- Direct sync to accounting software — both push captured data into QuickBooks Online (and other platforms) without manual re-entry.
- Reduced data entry errors — extraction is generally more accurate and far faster than manual entry, especially at volume.
Where they differ
Dext
- Stronger data extraction accuracy, particularly on complex or itemized receipts
- More robust for higher transaction volumes
- Slightly steeper learning curve, more configuration options
- Typically the better fit for businesses with heavier receipt/bill volume or more complex expense tracking needs
Hubdoc
- Simpler, more straightforward interface
- Included at no extra cost with certain QuickBooks Online Advanced plans, which affects total cost depending on your existing subscription
- Slightly less robust extraction on complex documents
- Often a better fit for simpler operations with lower transaction volume
What actually determines the right choice
- Transaction volume. A business processing dozens of receipts and bills weekly benefits more from Dext's accuracy at scale. A business with light volume may not need the extra capability.
- Existing software stack. If you're already on a QBO plan that includes Hubdoc, that changes the cost comparison meaningfully.
- Complexity of documents. Itemized receipts, multi-line invoices, and varied vendor formats favor Dext's extraction strength.
- Who's using it day to day. A simpler interface (Hubdoc) sometimes wins out if the tool needs to be usable by staff without bookkeeping backgrounds.
The takeaway
Neither tool is universally "better" — the right choice depends on volume, document complexity, and what's already part of your software stack. What matters most is that something automates receipt capture; the time saved from eliminating manual entry is the real win, regardless of which of the two you land on.
