QuickBooks Online can be set up in an afternoon or set up badly in an afternoon — the software doesn't stop you from either. Here's what actually matters for a setup that holds up over time, versus what's just default settings left unexamined.
Start with the chart of accounts
The single biggest factor in whether QBO is useful a year from now is the chart of accounts set up on day one.
- Match it to how you actually operate, not a generic template. If you track profitability by service line, location, or project, the chart of accounts (or classes/locations) needs to reflect that from the start.
- Don't over-build it. More accounts isn't more insight — a chart of accounts with 200 line items is usually harder to use than one with 40 that map to real decisions.
- Plan for tax mapping early. Accounts that don't map cleanly to tax categories create extra work every year-end.
Connect bank feeds correctly — and review the rules
Bank feed connections are easy to set up and easy to leave misconfigured:
- Categorization rules need review, not just acceptance. QBO's auto-suggested categories are a starting point, not a final answer — left unchecked, they quietly miscategorize recurring transactions.
- Reconcile monthly, not "eventually." A bank feed that's connected but never reconciled just means errors accumulate invisibly.
Set up for how you'll actually use it
- Multi-currency, if you transact in more than one currency — this needs to be turned on before you start entering transactions, not retrofitted later.
- Classes or locations, if you need to report by department, program, or site.
- User permissions, set deliberately rather than everyone having full access by default.
- Recurring transactions and invoice templates, built once instead of recreated manually every month.
Common setup mistakes that cause problems later
- Starting mid-year without properly recording opening balances
- Leaving the default chart of accounts largely untouched
- Not connecting payroll and bookkeeping data (running payroll in a separate system that doesn't sync)
- Skipping app integrations for receipt capture (Dext, Hubdoc), leading to manual re-entry that doesn't need to happen
The takeaway
QuickBooks Online is capable software, but it reflects the setup decisions made on day one — good or bad — for as long as the business uses it. A proper setup, done once by someone who knows what to configure and what to skip, saves far more time than it costs.
